Overview:
This comprehensive release delivers major enhancements to content authoring, introducing essential new features including adjustable font formatting, List of Effective Sections (LeS), and Record of Revisions (RR), comprehensive change request management, and regulation linking functionality. The release also establishes foundational systems for centralized tag management and acronym definitions.
What's New
SmartDocs
1. Adjustable Font Sizes
Authors can now select different font sizes for both heading levels and paragraph text by selecting the desired font size on the editor toolbar.
2. Adjustable Font Colours
Authors can now select different font colours by selecting the colour-picker on the editor toolbar.
3. List of Effective Sections (LeS)
Users are now provided with a digital LeS information on the version comparison screen through visual indicators in the sidebar showing which heading levels were updated. For every heading level, the system now provides:
- Visual indicator if the heading was updated or changed in the current version.
- Version number for the version in which the heading level last changed.
- Version date for the version in which the heading level last changed.
Furthermore, authors can now add a LeS placeholder in their document Front Matter which is populated with a LeS table when the document is viewed or exported to PDF. This option is available on the editor toolbar, under the "smart content" dropdown.
4. Record of Revisions (RR)
Users can now view a digital record of revisions under the view tab in the SmartDocs reader. The RR displays a list of document versions. By default it includes the current published version, as well as any previously published (withdrawn) versions. Drafts are not included in the RR.
Authors can now also add a RR placeholder in their document Front Matter which is populated with a RR table when the document is viewed or exported to PDF. This option is available on the editor toolbar, under the "Smart Content" dropdown.
Authors can choose to exclude versions from the RR by setting "Include in Record of Revisions" to OFF in the Version attributes.
5. Regulation Links
SmartDocs now supports Regulation linking functionality, allowing authors to link document headings and content to specific regulation items. Authors can link any document heading to specific regulation items available to them in SmartRegs. The system then tracks the status of linked regulations and alerts users when regulation items become outdated.
Authors can create regulation links by selecting the "Show Regulation Links" button above the editor sidebar, and selecting the link icon heading level they wish to create a link for. When linked regulation items are updated, users can view a version comparisons to understand what changed. The system includes comprehensive search functionality to find regulation items and the ability to open regulations in new tabs.
6. Change Request Management
SmartDocs now includes a comprehensive change request system. Authors and reviewers can access change requests by selecting the "Toggle Change Request" button on the top bar, which opens a dedicated change request pane. This option is accessible in both reader and editor modes. The interface allows authorized readers to create change requests for specific sections of text within documents by highlighting the text and selecting "New". Authors can view, create, and manage change requests for both published and draft versions. Authors have the option of accepting or rejecting a change request, or marking it as incorporated, in which case it will be transitioned to done when the document is published.
10. Tag Management
SmartDocs now includes a centralized tag management system accessible through the Reference Settings screen. Document managers can create, edit, and control which tags are available for assignment to documents. The system now restricts users to only apply approved tags from the managed list, improving document organization and consistency.
11. Acronym & Term Definitions
SmartDocs now supports a comprehensive abbreviations and definitions management system. Authors can define and manage acronyms and terms within their documents, with backend support for storing and retrieving definitions. This feature helps maintain consistency in terminology across documents.
This feature will be used for the future smart acronyms, smart definitions, glossary, and index features (ETD August, 2025)
