Overview:
This release introduces foundational enhancements across the One TrustFlight platform, including tenant-specific module control, integrated AI feedback workflows, and the rollout of in-app user guidance. SmartDocs receives major authoring upgrades with support for document headers, front matter, improved pagination, and autosave functionality. System-wide performance improvements and key bug fixes enhance platform stability, while SmartRegs benefits from refined AI behaviors and improved regulation handling. These updates further strengthen the platform's user experience, flexibility, and reliability.
What's New
One TrustFlight Platform:
1. Module Control by Tenant
The system now supports turning One TrustFlight modules on and off by system tenant. This allows TrustFlight staff to configure module access by customer.
2. AI Feature Feedback Submission Workflow
Added the ability for users to submit feature feedback across various One TrustFlight AI features.
3. User Guides
A user guiding capability has been added to One TrustFlight. Users can expect to see in-app release notes, knowledge base integration, tours, and surveys coming in the near future which will leverage this capability.
4. Internet Search for AI Agents
AI Templates, AI Editing, and SmartRegs agents can now search the internet, just like ChatGPT. For accuracy, the feature is switched off by default (“Internal” mode). When web search is enabled, agents still give preference to verified internal data and include citations wherever possible.
SmartDocs
1. Document Headers
Authors can now add headers to their document pages using the new "Page Settings" screen in the editor interface. This feature provides a straightforward way to configure and customize headers that are automatically included on each page during PDF preview and export. Currently, users can add an image, specify a title, and select a background color. The system also automatically detects and inserts the chapter name and number based on the document structure. Support for version number and version date variables, and automatic insertion of document tites, will be added in a future release.
2. Adding Front Matter & Cover Pages
Authors can now include a specialized Front Matter section at the beginning of their documents. Each document can contain a maximum of one front matter section, which is structured like a standard chapter but features unique indexing and does not require a title to be added within the editor. This section will appear before the main chapters but after the cover page, providing a professional introduction to the document.
The option to add a Cover Page has also been streamlined. When authors click the "+" button at the top of the sidebar, they will now be prompted to select whether they want to add a Chapter, Front Matter, or Cover Page.
3. Document Pagination and Page Numbers on PDF Preview and Export
Improvements have been made to how documents are paginated on PDF preview and export. The system will now start each chapter on a new page. Page numbers are automatically added at the bottom of each page. Additional page number format options will be added at a later date.
4. PDF Document Ingestion & Editor Improvements
Numerous improvements have been made the editor and ingestion of PDF documents, including chapter detection, failed ingestion handling, handling for very large chapters, save speed, and document sidebar performance.
5. Document Autosave
The system now supports the auto saving of documents in the editor mode. This option is located on the editor top bar, and is “on” by default. Autosave saves every 20 seconds, and on events like: navigating to a new chapter, opening the diffing, opening PDF preview, navigating away from the document, and refreshing the browser.
6. Smart Table of Contents
Users can now insert a Table of Contents (ToC) into their document front-matter by selecting it from the Smart Content drop-down list on the editor toolbar. Selecting the ToC will insert a placeholder into the digital document. This placeholder is replaced with the full ToC when the document is exported to PDF and in PDF preview.
7. Reprocess Entire PDF
Users can now reprocess an entire PDF—not just individual pages. For best results, preview a sample of pages, note any recurring errors, and then reprocess the full document using custom instructions that address those issues.
Bug Fixes & Optimizations
One TrustFlight Platform
- Fixed a bug which caused available modules to not be displayed on initial load of OTF.
- Users initials now display in the top-bar avatar as intended.
- Users with the System Administrator role can now access the Access Management module as intended.
- Added email format validation to the API.
- Fixed a bug which prevented users of programatically onboarded accounts from logging into the system.
- Implemented performance improvements across the system, including handling of very large chapters, save speed, document sidebar performance.
- Added caching for Claude messages.
- Fixed a bug which caused text to persist across different AI chat tabs.
- Resolved an issue with authorization which was causing sign-in failures.
- Integrated UserGuiding into OTF platform.
- Ther system will now summarize all follow-up AI chat messages and provide them as context to reduce AI token usage.
- Fixed a bug which caused a 401 error when attempting to authenticate against the OneTrustFlight authentication.
- Update Anthropic model from 3.7 to 4.0.
- Refactor AI chat empty state to show tips and generic examples.
- Update agent summary metrics to account for caching.
- Resolved an issue with database migrations not working as intended.
- Document title pages will now render on PDF export and preview.
SmartDocs
- Fixed a bug which caused a modal to remain open after deleting folders.
- Added additional document schema validation and error handling.
- The Publish button now works in the editor as expected.
- PDF importing now properly recognizes chapter titles which proceed chapter table of contents, and which were previously being filtered out.
- The system will now notify the user when the document ingestion fails, and update the text of the processing banner in the document details.
- Editing the document description field in the document metadata will now save as intended.
- Fixed a bug which caused the editor to “lose focus” while editing the document front matter, resulting in the need to double click within the editor to bring up the cursor.
- The “Controlled Document” setting for Document Types has been renamed to “Enforce Document Type” and this setting now controls whether a document number is required, as intended.
- User’s can no longer bypass the PDF ingestion workflow by directly selecting the draft from within the document.
SmartRegs
- Increased speed of AI responses and delegated tasks.
- Refactored regulation sorting under regulation groups for clarity.
- Improved markdown rendering in AI responses.
- Changed Regulations Agent chat to an embedded format similar to other OTF AI interfaces.
- Removed agent display names from status updates.
- Fixed a bugs which cased exclamation marks to be displayed in bulleted lists.
- Chat message content can now be shared with public links.
- All regulation items now have the expected prefixes.
- Closing regulation items will no longer close the parent regulation item.
- Fixed sorting order of GMs (nested items).
- Increased rate of AI manager agent spawning child agents instead of investigating multiple paths itself.
- Improved AI handling and recognition for relative dates.
- Addressed an issue with public regulation links not formatting correctly.
- Hide AI internal thoughts previously visible in final user response.
End-User Impacts
- Some edge-cases for the Smart Table of Contents, such as inserting the ToC into a table, have not yet been handled and will be addressed in future releases.
- Major updates to the editor will cause previously imported or created SmartDocs to underperform or cause errors. The development team recommends Beta testers re-upload any affected documents.
- We are currently testing a new user guiding tool in-system. Beta will occasionally encounter new tutorials as they navigate the system. These tutorials will typically appear only once for each user. Tests may also receive product surveys directly in One TrustFlight using this system.
- System performance while adding and removing chapters is currently degraded and will be patched in our next release.
- The SmartDocs development team is aware of an issue with PDF preview not working for some SmartDocs which are imported from PDF. This bug will be patched in our next release.

- No support impacts in this release.
Notes
- Users are encouraged to report PDF import processing errors using the Feedback button. This will help us optimize the import process to handle a wider variety of formats and edge-cases. Please attach a copy of your document in the ticket to assist us in reproducing the issue.
