As part of the SmartDocs Beta program, we ask participating customers to share aviation manuals and related documents to help us shape and improve the SmartDocs product. This article explains how we use, protect, and manage the documents you submit.
Why We Request Your Documents
Documents provided by beta participants help us:
- Test and refine our document ingestion and formatting tools
- Identify real-world requirements that influence product features and design
- Troubleshoot import issues during onboarding
How We Handle Your Documents
All documents submitted to the SmartDocs Beta are treated as confidential. This applies regardless of whether an NDA or customer agreement is in place.
Key handling practices include:
- Documents are clearly marked as confidential
- Access is restricted to authorized TrustFlight team members involved in the beta
- Documents are used only for testing, product development, and support purposes
- They may be viewed in internal meetings only when all participants are TrustFlight staff with appropriate access or employees of the company that owns the document
- Documents are never shared externally or internally with unauthorized individuals
Storage and Security
Documents are only stored on authorized TrustFlight systems and devices. All files are encrypted both in transit and at rest. Local copies are only permitted on managed, secure devices and are deleted once they are no longer needed.
