Beta Program Overview
Welcome to the SmartDocs Beta Program. Over the coming weeks, you’ll join a select group of aviation professionals who will help shape our next-generation document management platform. Our goal is to partner closely with you to validate core workflows, test system performance, and integrate your feedback into a seamless, production-ready experience.
Program Structure
We organize participants into customer cohorts based on organization size and the expected complexity. Testing introduce core experiences first—such as the application shell, document management system, editor capabilities, and import/export functions—followed by additional features as they become available..
What to Expect

Kickoff & Credentials: After submitting your onboarding information, you’ll receive login credentials and an invitation to a kickoff meeting for an interface tour, objective alignment, and Q&A.

Flexible Checkpoints: We’ll schedule virtual calls as needed to review findings, address pain points, and plan next steps—ensuring we stay aligned on priorities.

Weekly Releases: Every Monday, expect an update that incorporates your feedback. Release notes will detail new features, fixes, and improvements.

Ongoing Support: Your account representative and our product team will be available to receive your feedback and assist as needed.

Engineer Access: On occasion, you may work directly with our engineering team to troubleshoot complex issues or discuss technical enhancements.
Participant Commitments

Team Assignment: Provide at least one user (up to five) to actively participate in the beta. This group can be expanded

Onboarding Document: Complete the onboarding form, listing team members who will be involved.

Document Selection: Supply a representative set of documents for testing import, editing, and workflow scenarios. Please let our team know if you require an NDA.

Regular Usage: Log into SmartDocs frequently to test new features as they’re released.

Feedback Submission: Use the in-app feedback widget to report issues and suggest improvements.

Targeted Inquiries & Workflow Testing: Respond to specific questions regarding new features, usability, or workflows.

Monthly Check-Ins: Join at least one scheduled review call per month to discuss progress.

Getting Started

Submit the Onboarding Form to confirm your participation and help us tailor your environment.

Receive your credentials and schedule a kickoff session via email.

Participate in the kickoff session over Microsoft Teams to get oriented and begin testing.

Provide feedback through the in-app widget and scheduled meetings.

Interim Roles & Permissions
We’re actively building our full permissions framework; until it’s complete, this beta environment uses the following temporary roles:

TrustFlight Team: Module access and regulation configurations.

System Admin: Create, modify, and deactivate users; configure roles and organizational units.

Document Manager: Create, edit, and delete all documents; manage document types and metadata within the Documents module.

All Users: Access regulations and AI agent functionality; read published and withdrawn documents; create, edit, and delete their own drafts; read their own draft documents.
Data Storage
This is a beta environment and system data may be reset or made unusable due to changes in the system. While we endeavor not to impact your data, please avoid storing irreplaceable or production-critical documents in this environment
