Overview
The handover module allows you to create actions that are not only bound by a date but also by a specific time.
The module is split into three areas.
Inbox – An action that includes tasks for you to complete
Outbox – An action that includes tasks that you have created
All handover – An overview of all actions within the handover module and tasks that have been created (this is access right driven)
Creating a Handover Action
1. Click on the Handover module from the menu sidebar
2. Click on the Outbox section
3. Click on the button ‘+ Action’
The Action ID is auto populated with a HOV prefix and an incremental number.
4. Give your action an Action Title
5. Give your action an Action Due On date
6. Give your action a Due At time (using the 24hr clock)
7. Give your action an Action Owner, this can be an individual within your contacts module (start typing their name and select from the available list), a Role (type n the word Role and select from the available list, or a department (type the word Dep and select from the available list)
The next task is to complete the areas Tasks accomplished (what tasks you have completed) and the Tasks Outstanding (what tasks require completing) sections.
8. Complete the Tasks Accomplished section
9. Complete the Tasks Outstanding section
10. Click on the ‘Save’ button
The action owner will be notified, and the handover action will be placed within the all-handover area as well s the inbox of the owner and the outbox of the creator.
Completing a handover action
The final step is for the action owner to complete the task.
1. Follow the generated email link or view the handover within the inbox section
2. Click on the action to open it
3. Complete the section titled Actions Taken
4. Click on the ‘Save’ button
5. Click on the ‘Set Completed’ button
6. Click on the ‘YES’ button
The action is removed from your inbox, it can be viewed alongside all other closed handovers by ticking the box titled ‘Show completed actions’
