Once qualifications have been built you are able to add individuals to the Training area, this is how you are able to track qualification validity for individuals.
1. Navigate to the Training landing page
2. Click on the ‘Crew Currency’ button (in this example we are referring to employees as crew so it adopts that naming terminology, if they were Engineers the button would read ‘Engineer Currency’, this can be configured by Centrik
The currency page provides a summary of all staff added into that subsystem. It allows you to link, or associate qualifications to these individuals in order to track validity dates..
There are search filters at the top of the page as well as a legend for qualifications.
Adding Individuals
As long as an individual is a contact then they can be added to the training module, they don’t require a login but they do need to be a contact.
1. Click on the ‘Crew Currency’ button on the training landing page
2. Click on the ‘+ Add Crew member’ button
3. In the Name field, enter in the name of an individual (the system will start to autogenerate as you type)
4. Select a Rank (if enabled)
5. Enter a license number (if enabled)
6. Click on the ‘Save’ button
The staff member, crew member, individual has been successfully added to the training subsystem. Any mandatory training that is personal to that individual or role can be viewed by clicking on the ‘Training Record’ button. If however there re type specific qualifications associated to this individual or, any add-on qualifications then we need to link these to the recently added staff member.
7. Click on the ‘Edit’ button
8. Select the Aircraft Type by selecting the relevant checkbox
9. Select the Rank (if required)
10. Select additional Type rating qualifications, for example PR-NAV
If there are any add-on qualifications these would appear for selection under the Other Qualifications section, simply click/select the appropriate check box.
11. Click on ‘Save’ button

Qualification Validity
There are a few ways to add in training validity dates, these are.
- Editing an individual’s Training Record
- Adding in a qualification with supporting evidence such as a license or Certificate
- Performing a check in Centrik
- Self-serve qualification upload, this option requires verification from a Training Manager before a course is validated (this is a configuration option)
Editing an individual’s Training Record
Adding Completed on dates.
1. Choose the individual from the currency page
2. Click on the ‘Edit’ button
The page is put into edit mode, available boxes are shown for a ‘Completed On’ date, alongside an Exemptions section, and scheduled training (if configured), there is also a comments section.
3. For Completed training, enter the date in the ‘Completed On’ section for that qualification
4. If any training is scheduled, the date for this qualification can be entered into the date field of the Scheduled Training section, alongside any comments that might be required
5. Click on the ‘Save’ button
Exemptions.
Colour - Allows you to remove this qualification from appearing on the currency page and being included in the overall subsystem qualifications
Email - If a user’s qualification nearing expiry, or has expired Centrik will notify them via email, the Email checkbox removes that notification to the user for that qualification.
Adding Training with Supporting evidence
1. Choose the individual from the currency page
2. For the qualification in question, click on the ‘+’ button
3. Click on the ‘Upload Document’ button, the naming of the button might differ depending on configuration of the qualification
4. Add in the Completed On date in the available field
5. Add any comments (if required)
6. Add in the Issuing Authority (if required)
7. Add an attachment, the course certificate of completion
8. Click on the ‘Save’ button
Moving back to the individuals training record page this updated qualification will now have a ‘play’ button next to the Completed-On date.
Clicking on the ‘Play’ button will provide further details regarding this qualification.
Clicking on the ‘View Details’ button will show the certificate linked to this qualification.
Adding a Check in Centrik
Any qualification that has a checklist associated with it can be run in Centrik. For these qualifications you are given two options.
- Start the Check in Centrik (the naming will take the name from the qualification)
- Upload a Document
1. Click on the ‘+’ button of the desired qualification
2. Click on the ‘Start Check in Centrik’ button
3. Enter in the name of the individual carrying out the check
4. Add in the Aircraft Reg, SIM reg, or Ground School
5. Add in the routing (if applicable)
6. Add any attachments (if applicable)
7. Click on the ‘Save’ button
The phases of the Check are displayed, if Skills have been enabled for this qualification there would be an additional phase, if a repeat or re-test was created as part of this checklist that phase would also be displayed should it be required (an individual not passing or achieving the required score).
8. Click on the Check phase chevron
9. Click on the ‘Edit’ button
10. Move through the Sections, and items scoring each one
11. Add comments in the comments section if required
12. Click on the ‘Save’ button
13. Click on the Sign-Off phase at the top of the page
14. The Examiner is able to sign this course off by clicking the ‘Sign-Off by Examiner’ button and completing the sign-off declaration, adding in any overall comments
15. The individual (in this case Crew) is able to sign-off this qualification by clicking on the Sign-Off by Crew, they will be prompted for their Centrik password proceeded by clicking on the ‘Sign-Off’ button
16. The Training Manager will be able to sign off this qualification by clicking on the ‘Sign-Off by Training Mgr’ button
17. Click on the ‘Update Crew Records’ button within the Crew Records section
Navigating back to the individuals training record the qualification completed on date has been adjusted and a ‘play’ button is displayed. Clicking on the play’ button will show the entire qualification check within Centrik.
Self-serve Training Upload (if enabled)
Centrik allows the ability for users to upload their own training into Centrik, this training can then be verified and sign-off or rejected by the Training Manager.
1. A user logs into their Centrik account
2. The individual can either access their training record from their personal dashboard by clicking on a qualification that is due. This will take them directly to their training record
Alternatively, they can click on the Training Module icon, this ill take them to a summary overview page for their training. Clicking on the ‘My Currency’ button will direct them to their training record page.

My Uploads – The qualifications that I have self-served (uploaded) and their status
My Training Checks – A history of all my qualifications that include a check
3. Choose the qualification required and click on the ‘+’ button
4. Click on the ‘Upload’ button (naming terminology might change from qualification to qualification)
5. Enter in a Completed-On date, a New Expiry (if required) and any comments required
6. Click on the ‘Add Attachment’ to add the evidence of validity for the qualification
7. Click on the ‘Save’ button
8. Click on the ‘Submit’ button
Details of Self-uploaded qualifications can be found in the My Uploads area.
Clicking on the ‘My Uploads’ button will provide further details, including the status.
The Training Manager will receive a notification that a qualification has been uploaded and requires sign-off.
Self-Upload, Training Manager Sign-off
1. Follow the notification link sent via email or navigate to the Training Module within Centrik and choose the correct subsystem (if multiple subsystems)
2. Click on the Pending Updates area on the landing page
3. Click on the submitted qualification
4. View the uploaded details plus any attachments, restrictions that might be in place
5. Click on the ‘Sign Off’ button to sign-off, or the Reject button to reject this qualification.
