There are two ways to start a workflow, from the workflow summary/overview page or from within the workflow itself.
To start a workflow from the summary/overview page
1. Navigate to the workflow summary page.
2. Click on the ‘Start’ button next to the workflow you wish to start.
To start a workflow from within the workflow template
1. Navigate to the workflow summary page.
2. Click on the ‘View’ button of the workflow you wish to start
3. Click on the ‘Start workflow’ button
Once a workflow has been started either from within the workflow itself, or via the workflow summary screen the following steps are required.
4. Enter in a title.
5. Enter in a workflow owner (if left blank it will be defaulted to you as the owner, if using a step-by step with assignment workflow and a step has been designated to belong to the Workflow owner, this individual named here will be responsible for that step)
6. Under the Started On date, the workflow will default to today’s date, if you want to be specify a Due On date then remove this value and enter a date in the Due On box
7. Add attachments (if required)
8. Click on the ‘Save’ button.
The Checklist is placed in an In Progress state.
9. Click on each section individually or use the ‘view All Steps’ button to see all sections together.
Depending on the style of workflow chosen will result in the following screen to be slightly different when displayed.
All-in One (Checklist) display
Step-by Step
(Step 1.1 in the above example is required, therefore it is becomes a mandatory step and is different in colour)
Step-by Step with Assignment
(Step 1.1 has been assigned to a role and is a required step)
Depending on the workflow style chosen will determine the screen display and how this step is completed.
All-in One (Checklist)
1. Click on the ‘Edit’ button.
2. Complete the Status area for each item marking it as To Do, Omitted, Partially Completed, Completed, or N/A (a comments box is available within each step should you wish to use it)
3. Complete the status of all steps and click on the ‘Save’ button.
Step-by step
1. Click on the ‘Do Step’ button
2. Complete the Status area for each item marking it as To Do, Omitted, Partially Completed, Completed, or N/A (a comments box is available within each step should you wish to use it)
3. Complete the remaining To Do steps
Step-by step with Assignment
1. Click on the ‘Do Step’ button
2. Complete the Status area for each item marking it as To Do, Omitted, Partially Completed, Completed, or N/A (a comments box is available within each step should you wish to use it)
3. Complete the remaining To Do steps
After completing each step, (for all styles of workflow)
4. Navigate back to the workflow detail page, click the ‘Complete’ button. A pop-up confirmation box will appear.
5. Click on the ‘OK’ button.
